Introduction

The WP11 – Transnational Access (TNA) platform is designed to support and manage the entire lifecycle of the transnational access activities foreseen within the ITSERR project.

Its primary objective is to facilitate structured interaction between researchers (Fellows) and hosting institutions (Hosts) through a digital system based on roles, statuses, and permissions.

The platform enables the publication and management of Calls for Application, the submission and evaluation of Research Proposals, the coordination of Peer Review activities, as well as the organization and monitoring of Research Visits, including the management of expenses and visit outcomes.

By centralizing all these processes within a single digital environment, the WP11 TNA platform ensures transparency, traceability, and operational consistency across all phases of the Transnational Access programme.

This documentation provides a functional and operational description of the WP11 TNA platform, illustrating how users interact with the system according to their respective roles and permissions.

In particular, the document:

• describes the main concepts and entities managed by the platform;
• outlines user roles and their related responsibilities;
• presents the lifecycle of Calls for Application, Research Proposals, and Visits;
• guides users through the main operational workflows supported by the system;
• provides an overview of the notification and communication system.

The documentation is intended both as a support tool for the daily use of the platform and as a reference for understanding the logic governing the Transnational Access process.

This documentation is addressed to all stakeholders involved in the Transnational Access programme, in particular:

• Fellows, who submit applications and manage their Research Proposals;
• TNA Managers, responsible for creating and managing Calls for Application and coordinating the evaluation process;
• Host Coordinators, representing hosting institutions and coordinating research visits;
• Peer Reviewers, involved in the scientific evaluation of Research Proposals;
• Support staff and project administrators, who require a comprehensive overview of platform workflows and rules.

The following sections of the document specify, for each role, the permitted actions and operational responsibilities.

Within the ITSERR project, Transnational Access represents a fundamental instrument for promoting researcher mobility and access to research infrastructures distributed across different territories.

Through the WP11 TNA platform, the transnational access process is structured into clearly defined phases, including the publication of Calls, submission of research proposals, scientific evaluation, organization of visits, and reporting of activities carried out.

This approach ensures a fair, traceable, and project-compliant process, while simultaneously guaranteeing a consistent user experience for all actors involved.
